EXECUTIVE PERSONAL ASSISTANT – 6 months/1-year contract – Epping Are you able to multi-task and maintain calm in a deadline driven and demanding environment? If yes, this is a perfect opportunity to join a well-established Manufacturing company and be part of their successful team.

REQUIREMENTS:

Grade 12

1-3 industry experience – Highly advantageous

Tertiary qualification in Administration or Secretarial Studies advantageous

3 years’ industry related experience with experience in managing the activities of more than one Executive simultaneously

Working knowledge of Microsoft Packages

Good decision-making skills

Ability to work within a team

High work standards

Exceptional planning, organising and problem-solving skills

High standard of communication skills and ability to use initiative

High stress tolerance

 

DUTIES:

Assistant to 6 Executives

Organising and maintaining diaries of the Executive personnel including scheduling of appointments, confirming of appointments and cancelling or rescheduling of appointments when necessary

Ensure that notice is given to Executive personnel of appointment details at least one day prior to the appointment

Maintenance of office systems including filing and data management specific to Executive members

Perform general office duties such as ordering supplies, maintaining records and performing basic bookkeeping work.

Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees and boards of directors.

Handle confidential documents ensuring they remain secure

Prepare agendas and make arrangements for committee, board, and other meetings.

Assist with refreshments for executive meetings.

Take minutes for executive meetings, transcribe and circulate within set time frame.

Execution and maintaining of specific projects and research when required

Assist Executive members with company related claims (Credit Card, Expo documents etc)

Arrange travel, visas and accommodation for Executive personnel when required.

Updating Planning Calendars according

Organise and coordinate meetings, conferences as requested by management

Assist with event planning and implementation

Brand Ambassadorship – Intimate knowledge of organisational purpose, product and services.

Assist in ALL other departments as per operational requirements.

 

 

SALARY: R18 000 – R 20 000 depending on experience
