TB HIV Care (THC), in existence since 1929, is an internationally recognised non-profit organisation. We provide health care services throughout South Africa to both the general population and communities at increased risk for HIV and TB, including adolescent girls and young women, sex workers and people who use drugs. To capture incoming clinical data on clients rendered services from the mobile team and outreach team; maintain electronic database for data submitted; check/verify data for completeness and consistency by liaising with relevant staff; and provide a professional and effective administrative and reception service to coordinators and staff of TB HIV Care.


Minimum requirements:


  • Certificate/Diploma in Office Management or related qualification
  • Intermediate level computer skills (MS Office)
  • At least 2 years’ experience working with DOH data and/or M&E systems (capturing data from patient-record to DHIS level)
  • At least 2 years’ experience with TIER.Net software, capturing and reporting
  • Ability to communicate in English/isiXhosa
  • Clear criminal record


Key Performance Areas:


Office administration

  • Welcome visitors
  • General reception duties
  • Minute taking
  • Attend various staff and team meetings
  • Perform general office tasks as required by the Regional Project Coordinator
  • Order equipment and supplies
  • Coordinate faxes


Asset administration

  • Maintain fixed assets register
  • Ensure maintenance of all assets
  • Do monthly assets audit
  • Ensure that all staff complete acknowledgement of receipt form for assets taken
  • Ensure that staff return assets when they leave
  • Keep stock card for all supplies


Finance administration

  • Obtain quotations
  • Reconcile and analyse petty cash


Human resources administration

  • Support training
  • Support human resource administration activities (including recruitment and selection)
  • Support facilities to ensure all relevant data is accurately captured into health information systems e.g. DHIS, ETR, Sinjani, PERMIS, TIER.Net
  • Ensure facility generates daily, weekly and monthly TIER.Net line list reports
  • Collect and verify data against facility weekly tally books to ensure data quality
  • Interact with colleagues and project management team to ensure fulfilment of project objectives
  • Interact with DOH and THC staff to capture relevant subject-related information
  • Ensure that weekly, monthly and ad-hoc reports are submitted on time

Knowledge, Skills and Competencies:


  • Strong knowledge of TB
  • Experience in data collection and capturing
  • Experience with data capturing or collection within the public health sector
  • Familiarity with the public health sector and District Health System
  • Previous exposure within an NGO/NPO environment
  • Good knowledge of health programme data and information management
  • Intermediate level Microsoft Office proficiency
  • Good understanding of data management systems
  • Attention to detail, good time management and monitoring skills
